Privacy Policy
- We run software for franchise brands and their stores. We do not sell personal information or use it for advertising.
- A store's employee records belong to the employer (the brand or the franchisee). We hold them on their behalf.
- Brand HQ sees store numbers, not franchise employees' personal files, unless the franchisee shares them.
- Our database is hosted in Canada. You can ask to see, correct or delete what we hold about you.
1. Who we are
AIO Franchise OS is operated by AIO Agency, Toronto, Ontario ("AIO", "we"). This policy covers aiofranchise.com and the AIO apps: Brand HQ, Merchant, the employee app and the store tablet.
2. Whose data it is
Each brand that subscribes, and each franchisee that runs stores for it, controls the information it puts into AIO about its business and its people. We process that information to provide the service, under our agreement with them. Questions about an employer's records are best sent to that employer first; we will help them answer.
3. What we collect
- Account details: name, email, role, the stores you belong to, sign-in records.
- Employment records an employer adds: onboarding forms, signed contracts, schedules, time entries, training and messages within a store team.
- Business records: recipes, items, prices, supplier invoices, orders, counts, checklists, audits and issues, including photos taken in the app.
- Point-of-sale data from a connected system: sales, items and, where the store chooses, team members and timecards.
- Demo requests sent from this website: your contact details and your answers about your brand.
- Device details for paired store tablets and basic technical logs to keep the service secure.
4. The employee app (AIO Team)
- Camera and photos: used only when you take or pick a photo yourself — for a checklist, a problem report, a document or your profile picture. The app never takes photos on its own.
- Notifications: shifts, requests, messages and problems at your store. You can turn them off in the app or in your phone settings, and a store can set quiet hours.
- Location: the app does not track your location.
- Who sees what: your store's managers see your schedule, hours and what you submit; brand HQ sees store totals, not your personal file.
5. How we use it
To run the service you signed up for: show each person what their role allows, send the notifications and emails they need, calculate costs and reports, and provide support. AIO staff do not open a brand's sales, wages, timecards or contracts unless the brand opens a support session, which the brand can see in its log. Supplier invoices may be read by an AI service to fill in line items; a person always confirms the result.
6. Google sign-in
If you choose "Continue with Google", we receive your name, email address and profile picture from Google, only to sign you in to an account you were already invited to. We do not access your Gmail, Drive, contacts or any other Google data. If no invitation exists, the Google sign-in is discarded.
8. Where it is stored
Our database and uploaded files are hosted in Canada. Some providers above may process data outside Canada; where they do, it is protected by their contractual commitments.
9. How long we keep it
For as long as the brand's subscription is active, then up to 90 days after it ends so the brand can export its data, unless the brand asks for earlier deletion or the law requires us to keep it longer (for example payroll and tax records). Demo requests that don't become customers are deleted after 24 months.
10. Deleting your account
In the AIO Team app (the employee app, also at my.aiofranchise.com), open Me › Request account deletion, or email info@aio-agency.ca. Your employer and AIO both receive the request. Your employer ends your employment, which closes your sign-in, and we delete your login within 30 days. Records your employer must keep by law (for example pay and hours) stay with your employer for that period, then are deleted with the rest of their data.
11. Your rights
Under Canada's PIPEDA you may ask to access or correct your personal information and withdraw consent where it applies. Email us and we will answer within 30 days. You may also contact the Office of the Privacy Commissioner of Canada.
